1. Scope of This Privacy Policy

Fleetomizer is a product and service of Choice Transportation Data Systems, LLC. Choice Transportation Data Systems, LLC (“Choice Transportation Data Systems,” “we,” “us,” or “our”) operates the Fleetomizer platform and related services (“Fleetomizer”). We respect the privacy of our customers, users, and visitors. This Global Privacy Policy describes how we collect, use, process, disclose, and manage information when you access or use the Fleetomizer platform, websites, applications, services, integrations, and related technologies (collectively, the “Services”).

Fleetomizer provides fleet management and Fleet Cost Intelligence solutions to businesses, organizations, resellers, individual customers, and their authorized users. The information processed depends on the configuration of the platform, the modules and integrations enabled, and how a customer uses the Services.

2. Information We Collect

Account and User Information

We may collect information associated with users and accounts, including:

• Name, business email address, telephone number, company or organization;
• Username and authentication information;
• User roles and permissions;
• Login history, IP address, browser and device information; and
• Application activity and audit logs.

Fleet and Operational Information

Depending on the Services used, Fleetomizer may process vehicle and asset information, fuel transactions and consumption, maintenance and repair records, inspections, work orders, inventory, expenses, operating costs, mileage and distance, Total Cost of Ownership information, GPS and location history, telematics information, driver names or identifiers, driver activity or behavior, vendor information, registrations, insurance documentation, invoices, receipts, and other fleet-related records and documents.

3. How We Collect Information

Information may be entered, uploaded, transmitted, imported, or generated through the Services. Sources may include direct user entry, customer administrators, Excel/CSV or other file imports, APIs, GPS and telematics integrations, fuel-card integrations, third-party fleet platforms, other customer-authorized integrations, and information automatically generated through use of the platform.

When information is supplied through a third-party integration, customers are responsible for ensuring that they have the appropriate authority, permissions, and notices required to provide or make that information available to Fleetomizer.

4. How We Use Information

Fleetomizer may use information to provide, operate, maintain, support, and improve the Services; authenticate users; administer accounts; provide fleet-management and Fleet Cost Intelligence functionality; calculate and analyze fleet expenses and performance indicators; process fuel, maintenance, inventory, inspection, work-order, GPS and telematics information; generate dashboards, reports, analytics and alerts; integrate with customer-authorized systems; provide customer support; diagnose technical issues; administer subscriptions, billing and payments; communicate regarding the Services; maintain platform records; investigate suspected misuse; and comply with applicable legal obligations.

We may also use information in aggregated or de-identified form for legitimate business purposes where the information does not reasonably identify an individual.

5. Customer Data and Fleetomizer Processing

Customers provide or authorize the transmission of information to Fleetomizer. Fleetomizer processes that information to provide the Services and to generate calculations, reports, analytics, dashboards, indicators, and other platform outputs.

Customers retain their applicable rights in the information and data they provide to Fleetomizer. Customers authorize Fleetomizer to host, process, organize, analyze, transform, and otherwise use that information as reasonably necessary to provide, maintain, support, and improve the Services.

Additional provisions concerning ownership, licensing, platform-generated information, aggregated information, and intellectual-property rights may be established in Fleetomizer's applicable Terms of Service, subscription agreement, reseller agreement, or other customer agreement.

6. Sharing of Information and Service Providers

Fleetomizer does not sell customer personal information.

We may disclose or make information available to service providers where reasonably necessary to operate and provide the Services. These providers may support cloud infrastructure and hosting, email and business communications, mapping and location services, analytics, payment processing, customer support, and other operational functions.

We may also disclose information when required by applicable law, regulation, legal process, court order, or lawful governmental request, or when reasonably necessary to protect Fleetomizer, our customers, users, or others. If Fleetomizer is involved in a merger, acquisition, restructuring, financing, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to applicable law.

7. Third-Party Services and Integrations

Fleetomizer may integrate with third-party products and services, including cloud-hosting providers, mapping services, telematics providers, fuel-card systems, payment processors, analytics providers, email services, and other fleet-management systems.

When a customer chooses to connect a third-party service, information may be exchanged between Fleetomizer and that service as necessary to provide the requested functionality. Third-party services operate according to their own terms and privacy practices.

8. Location, Telematics, and Driver Information

Certain Fleetomizer features may process GPS location, vehicle location history, routes, mileage, telematics information, driver identifiers, and vehicle or driver activity. Customers are responsible for determining whether they have the necessary authority, notices, permissions, and consents to collect and provide this information to Fleetomizer, particularly where it relates to employees, drivers, contractors, customers, or other individuals.

Fleetomizer processes this information to provide the features and services enabled or authorized by the customer.

9. Cookies and Similar Technologies

Fleetomizer currently uses cookies and similar technologies primarily as necessary to authenticate users, maintain sessions, remember relevant platform settings, and support essential platform functionality.

Fleetomizer does not currently use platform cookies for third-party behavioral advertising. If our use of cookies changes materially, this Privacy Policy may be updated accordingly.

10. Data Retention

Fleetomizer retains information for as long as reasonably necessary to provide the Services, maintain legitimate business records, meet contractual obligations, resolve disputes, and comply with applicable legal requirements.

Fleetomizer does not currently guarantee a specific retention period following termination or expiration of a customer account. Customers should export or otherwise preserve information they wish to retain before terminating the Services. Following termination, Fleetomizer may delete, anonymize, or otherwise discontinue storage of customer information, subject to applicable contractual commitments and legal requirements.

Fleetomizer does not undertake an obligation to preserve customer data indefinitely following termination of the Services.

Fleetomizer provides Services to customers and users in the United States and internationally. Privacy and data-protection requirements may vary depending on the jurisdiction in which a customer or user is located.

This Privacy Policy describes Fleetomizer's general privacy practices and is intended to provide a consistent framework for how we collect, process, use, disclose, and manage personal information across our Services.

Depending on your location, applicable laws may provide additional privacy rights or impose additional requirements regarding the processing of personal information. Where such laws apply to Fleetomizer, we will process personal information and respond to applicable privacy requests in accordance with those legal requirements.

Nothing in this Privacy Policy is intended to limit any privacy or data-protection right that cannot lawfully be limited or waived under applicable law.

Fleetomizer is intended for business and adult users and is not intended for individuals under 18 years of age. We do not knowingly seek to collect personal information directly from children through the Services. If we become aware that information has been collected from a child contrary to applicable requirements, we may take appropriate steps to remove it.

Fleetomizer takes measures designed to protect information against unauthorized access, use, alteration, or disclosure. Because no information system, network, or method of electronic transmission can be guaranteed to be completely secure, Fleetomizer cannot guarantee absolute security.

Fleetomizer may update this Privacy Policy periodically to reflect changes in our Services, business practices, technologies, integrations, or legal requirements. When this policy is updated, the “Last Updated” date at the top of this page will be revised. Where required by applicable law, additional notice of material changes may be provided.
